Conference Room Management System
Article 1 The conference room is a place where the company holds meetings and receives visitors. In order to strengthen management, these regulations are specially formulated.
Article 2 Detailed Rules for the Use of Conference Rooms
(1) The conference rooms are managed by the Administration Department.
(2) The conference room can only be used by the relevant functional departments of the company. The borrowing of the conference room by other units must be approved by the administrative department manager and the borrowing procedures must be completed in the office. Departments do not have the right to lend conference rooms to outside units.
(3) The use of conference rooms by various departments of the company must be approved by the office, go through relevant procedures, and receive conference room keys.
(4) Departments using conference rooms must take good care of the facilities in the conference room and keep the conference room clean. After use, water glasses and ashtrays should be cleaned promptly, cleaned, checked for safety, doors locked, windows closed, and keys returned to the office.
(5) No department or individual may take the various facilities of the conference room out of the conference room or use them for other purposes without the consent of the office.
(6) The sanitation in the conference room must be cleaned at least once a week. When there is a meeting, it must be cleaned one at a time.
(7) Before each meeting, managers should check the power supply, provide drinking water, fruits (if necessary), etc.
(8) Meeting room managers must strictly manage and maintain indoor items (including flowers and trees, etc.) to ensure that people disperse, people leave, the power is turned off, and the door is locked.
(9) Participants must take good care of the public facilities in the conference room, compensate for any damage, and are not allowed to use indoor items for other purposes.
Article 3 These regulations are formulated by the Ministry of Administration and shall be implemented from the date of promulgation upon approval.
