In the process of docking, we need to do the following three things:
First, arrive at the station (or airport, or ferry) in advance. This is the most basic requirement. Any superior leader hates subordinates who don't pick up the station on time. First of all, they gave you a bad evaluation from the first impression. If there are any mistakes in the follow-up reception, then your work ability and performance will be denied by your superiors!
Generally speaking, if the superior leader arrives by train or car, then we'd better arrive at the station 15 minutes in advance, so as to arrange the departure time reasonably and avoid the traffic jam from affecting the arrival time; At the same time, after arriving at the station, you can get familiar with the surrounding environment, adjust your emotions and ideas, and communicate effectively with the leaders.
Some employees like to "step on the spot" to get to the station on the grounds that trains and buses are often late. Even if we arrive at the station on time, it is "arriving at the station in advance", but there is great risk-because occasionally trains and buses will arrive at the station in advance. At this time, you asked your superior leaders to wait at the station. It is estimated that the superior leaders are "angry"!
In addition, no matter what kind of transportation the superior leader takes to arrive, we must know the time when the superior leader leaves on time, such as the time when the superior leader boards the plane, or gets on the train, or drives away, and so on. Because many times, due to weather factors or unexpected events, the departure time of superior leaders may change, so we need to know this in advance, otherwise you will find that you arrive 5-6 hours in advance, and wait!
Second, someone picks up the station. If the top management of the company comes, then as the first person in charge of overseas institutions, you must pick up the station in person. Unless you really can't come back, you must also arrange the following core employees to receive them in the most grand way, and you must never treat them lightly. If it is your immediate superior, you need the first person in charge of the overseas institution to pick you up in person. If the superior leaders at the same level come to inspect the work, especially those who have a good personal relationship, as long as they are free, the first person in charge of foreign institutions should also meet them; If it is to meet customers or deal with some important matters, the first person in charge of the overseas institution should make it clear to the other party in advance, and designate his subordinates or full-time drivers to pick up the car. If there are subordinates or several levels of superior leaders to inspect the work, it is not suitable for the first person in charge of overseas institutions to meet in person, but to arrange subordinates or drivers to receive it.
Third, send several cars to pick up the station, how many people and what grade. The number of vehicles in foreign institutions is generally small, so when you pick up the station, you also need to consider what car to send, how many people to go, and what grade. For example, important leaders of the company come to inspect the work, and there are three people on the other side. Then the more suitable pick-up stations are full-time drivers and heads of overseas institutions. Important leaders of the company sit in the passenger seat, and the head of an overseas institution and two other entourage sit in the back row; If there are four people in the other party, you need to arrange two cars to pick up the station, unless there are commercial vehicles with multiple rows of seats in foreign institutions; If the general leaders of the company come to inspect the work, and 5-6 people come at a time, then the heads of overseas institutions do not need to go there to pick up the station in person, but directly arrange two cars to pick up the station, or even a van to pick up the station. In short, according to the level and the number of arrivals, different docking specifications are determined.
It is always necessary for superiors to have a meal when they come to inspect the work. Pay more attention to diet. In my opinion, we must pay attention to the following four points:
First, be familiar with the road conditions. Full-time drivers and accompanying personnel must be very familiar with the place where they eat. They should not take their superiors in circles, or take "waiting for a red light" all the way, encounter a big traffic jam, or even go to the wrong place to eat. These situations will make their superiors feel very bad. Originally, we wanted to get closer to our superiors by eating, but as a result, our superiors were uncomfortable because we were not familiar with the road conditions, which was typically not worth the candle.
Second, choose the right restaurant. Different levels of leaders, we need to arrange different levels of restaurants. The best way is for the superior leaders to take the initiative to propose what flavor of food they want to eat; Unfortunately, many times, we don't know what the superior leaders like to eat; Superior leaders don't foolishly say what they want to eat. More often, the superior leader will say, "Just eat a little, and an ordinary meal is enough." The problem is you'd better not believe these words! After all, there must be corresponding meals that meet the status of superior leaders, and they are indispensable.
Usually, the important leaders of the company inspect, and the restaurant we choose should be a restaurant with good grade, environment and style. It would be better if we could add some local characteristics! At the same time, it should be noted that the overall price of vegetables should not be too high, but it should not be as cheap as roadside snacks, otherwise the superior leaders still feel psychologically uncomfortable!

Third, choose the right time to eat. Eating time is very long in most places in the south, and restaurants can be open 24 hours as long as there is business; However, eating in the north requires special control of time. Many northern provinces and cities basically don't accept new guests after 8: 30 in the evening, because they are going to close! Not to mention those prefecture-level cities, even more so.
Therefore, when the superior leader arrives, we must take the time to make an appointment with the superior leader for dinner, so as not to have food then!
Fourth, choose a good escort. Generally, the inspection work of superior leaders is to eat in the company and employees, and dealers or agents are not welcome to come in (except for visiting commercial units alone). A friend of the author, who is also an old-timer in the sales field, once said such a joke: "The superior leader is on a business trip to relax!" Therefore, superior leaders are generally reluctant to meet with commercial units, because once commercial units are involved, they dare not be too presumptuous when eating, and many companies dare not say "secrets", and the atmosphere is obviously much worse; And drink, be short of one cannot!
Therefore, when arranging the dinner to welcome the superior leaders, we must arrange all the employees in the company, some key members of overseas institutions, and some employees who are easy to enliven the atmosphere, which is enough!

Accommodation is the most important part of the whole reception-this is my personal experience and profound feeling!
Many people feel that the accommodation arrangement is very relaxed and well done; However, from the author's marketing experience for so many years, I think most of them have failed in accommodation reception.
The following are the precautions for accommodation reception:
First, book the room in advance and know the room status in advance. Many people think that if you book a room in advance, you will arrange the "accommodation". In fact, this is self-deception, and accommodation reception is not that simple. After we book a room, we must know the condition of the room in advance, such as whether the room faces south and is transparent; Whether the bedding, tables and chairs in the room are neat and clean; Whether the bathroom and bathroom are clean and fresh; Whether the room smells, whether the bedding towels are worn and messy; Whether water, electricity, internet, toilet, air conditioner and color TV are in good condition; Whether the room is soundproof, whether the surrounding area is being renovated, or whether there is an odor emanating from it ... We must pay attention to and implement these details one by one.
At the same time, it is also necessary to know in advance how to handle the hotel check-in procedures, whether you can use your own ID card or get a room card in advance; Besides, does the hotel serve breakfast? When is it served? What floor is the restaurant on? Are there any renovations or unusual things in the hotel recently ... these are all things that need to be known in advance.
Second, it is very important to choose what kind of hotel. For example, an important leader of the company came to inspect the work, and we arranged for him to stay in the hotel where the chairman or general manager of the company once stayed. Then this important leader feels that we have given him enough face, and his inner vanity will be greatly satisfied and his impression of us will be greatly improved.
On the contrary, the important leader of the company came to inspect the work, and we arranged him to a hotel with a significantly lower grade. He must be very unhappy inside. A colleague of mine used to be the general manager of Guangxi branch, and the general manager of South China came to inspect the work. He put his immediate supervisor in a three-star hotel, but the water heater is still broken! The general manager of South China changed the hotel in the evening, and then received a notice of transfer a week later! Such examples abound, don't underestimate them!
