How important is time management?

I will talk about how I manage by objectives according to the following five points (no pure theory, no practical demonstration and no data processing):

First, management by objectives: decomposition and display of objectives

Second, data manipulation: event recording and digitization

Third, social incentives: please make your goals public.

Fourth, learning recommendation: time management learning channels

Five, some suggestions: what you learned by stepping on the pit.

Management buyout

Decomposition and display of targets

The most intuitive and simple frame of reference for target management is the "time axis", which completes a fixed goal within a predetermined time, such as "going to Shenzhen to see the sea in October" and "the annual salary is 20 17 to 20W" and so on. So I show how I set different goals according to these four nodes by year/month/week/day.

Annual review

The purpose of looking back on 2008 is to remind me that when I look back on this year, I won't feel idle. At least make it clear, "Where has the time gone? What was I doing today last year? What are the gains and losses? " .

● Life Pepsi List

You don't have to list 100 things you think you will do in your life. If you don't have a clue at present, you can refer to this article "100 things you must do in my life" and the abbreviated "100 things I must do in my life", which is part of my "life plan list".

proust questionnaire

Do Proust questionnaire once a year to understand your values, hobbies and characteristics. Record your preferences at different ages and the changes brought about by age. Different questionnaires have different effects. I also have a collection of "36 questions", claiming that I can get to know a stranger quickly after answering. You can try it if you are interested and see what your answer is. My "Proust questionnaire" in recent years is shown in the figure.

● Ordinary mail every year.

One weekend, QQ prompted me to receive an email with the theme "To you after one year". I am in a trance. This is an ordinary email I wrote to myself today last year. After reading it, I suddenly felt very sunny. If you ask yourself a question that used to be difficult, you should have a different answer a year later. The letter part is shown in the figure.

● Monthly Notes+Year-end Feeling

Through the monthly activity records, in the order of1-65438+February, review what you have done this year. Write a few paragraphs casually, talk about feelings, don't be wordy, don't care about writing, just post some photos. The purpose is to recall this year many years later and find that you once existed.

Month-Details

The monthly details are the data base of the annual summary, so take the time to fill them out carefully every month. Before this, be sure to list the items in the monthly summary table clearly, which are just directly filling in the data and which are personal feelings that need to be considered. As shown in the figure (major items are marked with "-",minor items are marked with "#", red lines are filled in as perception, and data contains "XX").

You can find that my monthly summary table project division template is:

1. Time spent in this article (record the time spent writing plan summary, including plan time+summary time).

2. Monthly events (extract events records that I think are important from diaries and weekly reports)

3, month sentiment (don't want to write immediately, just write what impressed you the most in the month)

4, workplace life (at the beginning of each month, the specified work goals are completed, why)

5. Life goals (you can assign the "Life Pepsi List" to every month to see if it is completed)

6. Consumer bills (income/expenditure/savings, which one is not up to standard, and whether there is impulsive consumption)

7. interpersonal relationship (who did you talk to a lot that month and how did you meet new friends)

In the final analysis, life is either work or life, so I will focus on four points and five points that need attention. For beginners, it is not recommended that there are many small events under big events. Because novices need a continuous sense of accomplishment, projects beyond their control often make people lose confidence and give up. Therefore, there is only one principle when beginners need to list small items: it can bring you a sense of accomplishment quickly. Think about what you have achieved this month, and you will have a sense of accomplishment; When you think about what you have accomplished in your life this month, you will have a sense of accomplishment.

Take me for example. I listed "# xuanjia" and "# training" under the category of "workplace". "# Xuanjia" contains the two most important data indicators of my project team, which means that my work this month can focus on these two items. "# Training" is some experience that I can share with members of the department after work this month, which is conducive to improving the quality of the whole team. The completion of these two things can bring me a great sense of accomplishment (what can bring me a sense of accomplishment? Look at your group goal and try to surpass it.

In addition, under the big item of "life", I listed seven small items: # daily life, # fitness, # reading, # writing, # cooking, # outdoor and # monthly plan. You can seriously think about what you do regularly every month. Do you like cooking? Exercise? Or reading or something? For beginners, it is also recommended not to be greedy. Only three basic items are listed: "# daily+#' an interest'+# monthly plan". Explain in particular the "# Month Plan", which means that you set yourself a good life goal in that month. The source can be "Life Pepsi List" or a whim. For example, my monthly plan for June 5438+00 is to go bungee jumping, haha.

Zhou thought

The focus of weekly feelings is sentiment, which consists of simple weekly events and weekly feelings. As shown in the figure (the title is self-defined, so I will directly take the writing time as the title). The content is relaxed and casual. Well, it can be seen that the author is a foodie.

Sunlight flowing water

The running water every day is like what we call a diary. Do not pay attention to rhetoric or even punctuation, completely casual, all by preference. The recorded content is only the event itself. I have also heard a diary principle: "A diary should only record two things, one is what you learned today, and the other is what you suffered." Not absolutely, write it for your reference. What I do now is to remember everything and pay attention to comprehensiveness. Don't bother with recording tools, just go directly to Excel to facilitate screening, as shown in the figure.

The first principle of target management is to divide big goals into small goals, so I divide a year into years/months/weeks/days. I didn't list "seasons" because I don't think it is necessary for me to distinguish between seasons and months for the time being. Each subdivision unit must have a different focus. For example, we should pay attention to reviewing in years, recording data in months, feeling in weeks and collecting events in days. Not only that, each level should have a top-down correspondence. For example, the "monthly chronicle" in the annual review comes from the "monthly events" in the monthly details; Most of the "sense of the moon" in the details of the month comes from the sense of the week; The "diary" in Zhou thought comes from the diary part of daily flow.

If there is no focus, the contents of the year/month/week/day will overlap, wasting recording time; If there is no corresponding relationship, then the event record and perception may be "distorted" (memory is not recorded truthfully but re-established).

data manipulation

Event recording and digitization

12 months, 365 days and 8760 hours a year. As long as we record 24 hours a day, it will form our year and even our life over time. I will explain how I treat my day from three aspects: time record, event record and life record.

Time record

First, classify your 24 hours a day according to different time periods. For example, 06:50-07: 15 is breakfast time. If you don't eat breakfast at that time, the long-term physical and psychological habits will bring you a strong sense of guilt. It helps you to get rid of many bad habits

● Work schedule

Get up at 05:30-05:40

05:40-06:00 Fitness

From 06: 05 to 06: 25

Take a shower from 06: 35 to 06: 50.

06:50-07: 15 breakfast

07:20-08: 15 went to the company.

Working hours are from 08: 30 to 18: 20.

18:25- 19:20 back to the residence.

19:30-22:00 Entertainment

Go to bed from 22: 20 to 05: 25.

● Weekend schedule

Get up at 05:30-05:40

05:40-06:00 Fitness

From 06: 30 to 07: 00

Take a bath from 07: 30 to 07: 50.

08:00-2 1:30 study or play.

Sleep from 22: 30 to 05: 25.

There is a list of main time types every day, but in daily life, there are more "fragmented time", such as the way to the company, the gap between work, the fidgety mood and so on. If you want to master every minute of your movements, you can use the "atime logger 2" application. Before you do something, just click on this application, and it can completely record your day. If you are interested, you can take a look at the article of Douban users: "How to effectively record the use experience of time expenditure atime logger 2", and the picture is taken from the network.

At present, aTimelogger2 is being used, and it has gained a lot. Due to the limited space, I don't want to talk about it. Friends in need can try it by themselves and communicate together. If you don't want to manage the daily time to minutes, there is another tricky way, which is to use the "24Pi" (Android version, iOS can use Moment)APP to count the usage time of the APP. The principle is that the most common daily behavior is work (PC)+ mobile phone (APP). You only need to record the time of using the APP, and you can probably know the composition of the day.

If you want to record the time of using the computer, you can use ManicTime.

Accident record

I don't know if you have noticed, one of the signs of career promotion is to "prioritize". We are fixed 24 hours a day. Too many things will only make you breathless, let alone time management and energy management. Anxiety is enough for you to drink a pot. Therefore, we should not only know what we are doing every minute, but also know what we should do first every minute.

● Paper and pen

Normal working days, most of the time in the company. Before you start work, please write down what you will do today in your notebook and box it. Then prioritize these things, generally speaking: leadership needs > team/department needs > personal needs. Then, when you finish something, cross out the box. It will be great to see things done one after another. My personal draft is shown in the picture.

● Tools

Of course, there are people who are used to writing with paper and pen like me, and there are people who are used to recording with network tools. There are many softwares for online event recording. For example, there is a "to-do" function for taking notes (shortcut key CTRL+ALT+D). Soft media time has event reminder function. I only introduce the software "Doit" that I use. I use the paid version of 100 yuan/year, with PC+ mobile multi-platform synchronization function, so I can quickly add what I think in both work environment (PC) and leisure environment (mobile phone).

Combined with the above-mentioned year/month/week/day event management, when using Doit, you can set up project units for the "Life Pepsi List" and "# Month Plan", throw the things you think of on the road into the "collection box" and throw the work sorted out every morning into the "Today's To-Do List". I believe your life will be more and more orderly and regular.

Life record

How do I establish my own note-taking system in the process of learning and growing up? At the end of the article, an Excel record form was posted. This table provides data support for the "monthly details" mentioned above (the corresponding relationship is indicated by dashes below), as shown in the figure.

Let me explain in detail the data sources of all parts of the table:

20 16-09-26 (before updating)

20 16- 10-25 (updated)

1) Date+Week+Weather (red background)-"# Daily"

There is no need to explain this part, just fill it in according to the actual situation. (At present, the updated part "Weather" has been deleted. The reason for deletion is that if the stopover area changes, will the weather be filled locally or permanently? Did you fill it out according to the weather forecast or your own perception? Because of all kinds of uncertainty, it is of little use, so it was deleted. )

2) Rating (pink)-"# Daily"

Rating is a very personal indicator. At present, it is divided into three grades: 1-3, which can be understood as good mood, medium mood and poor mood. But different people judge their moods by different standards. Let me talk about my reference standard. 1-accomplish something with a sense of accomplishment; 2- an ordinary day; 3- Negative emotions such as anger/grievance. (At present, the scoring system has been updated, and it is no longer based on your own feelings, but on daily goals, such as 0.5 points for studying for 30 minutes, 0.5 points for fitness for 45 minutes, and so on. And form a reasonable and quantifiable rating system. )

3) Sleep+Fitness (orange bottom)-"# Fitness"

Xiaomi sports APP

4) Reading (yellow background)-"# Reading"

In the reading column, the above picture records the number of pages, but the number of pages does not belong to public units and will change with the changes of readers, so I also record the reading time, which will be quantified in time units in the future.

5) Writing (green background)-"# Writing"

I take knowledge notes directly on the writing platform, usually write a few articles on the same day and fill in the numbers with Excel. (At present, the writing part has been updated to record the number of articles and words written that day, and other statistical tools except Excel have been completely abandoned. )

6) Financial Management (Youth)-"Consumption"

The "pocket bookkeeping" APP I am currently using can be filled in Excel after sorting out the expenses of the day every night.

7) Telephone (blue background)-"-interpersonal"

This part doesn't need to be explained, just fill it in according to the phone call record. (I updated this part and established a personal relationship frequency table with reference to the "RFM mode" in operation. I will talk about it later. As shown above, just fill in the phone call record)

Don't look at a lot of data when recording this form. In fact, most of the data is fixed every day, so just copy it directly. For example, "fitness", how many kilometers you run every day, do a few push-ups and so on. What is more troublesome is the two links of "reading" and "managing money". In the reading column, I recorded the number of pages I used to read that day (now changed to time). Different people use different reading tools, so this number is naturally different. There is a principle here: try to use public units when making data records. What is a public institution? My earliest running record is not "running kilometers", but "running laps" Why not record laps instead of kilometers? Because kilometers are public units, circles are not. 1 km, everyone knows how far it is, but who knows how far 1 cycle is? As for the financial column, it is actually very difficult every day. If you don't mark it in the APP in time, it's easy to forget afterwards. Fortunately, most stores can pay with Alipay/WeChat now. It doesn't matter if you forget. Just come back and look at the payment records.

Third, social incentives: please make your goals public.

social motivation

Please disclose the target.

Wechat socializing

In addition to routine activities such as # daily, # fitness, # reading, # writing, # cooking, # outdoor, # monthly planning, I sometimes do some special activities by myself. For example, on August 29th, 20 16, I launched the "#2 1 get up early every day #" plan. The goal of the plan is to get up before 5:40 every day for 2/kloc-0. This plan is undoubtedly a big problem for me who didn't get up so early at school. Fortunately, I persisted in finishing it, and wrote an early diary on February1day (8.29-9. 18).

How did I persist? The secret is to use social incentives to make your goals public. Fight your laziness with shame. Because I know my weakness very well, I can persist for 2 or 3 days, but I have to continue for 2 1 day. If there is no supervision from others, I will definitely kneel! So I cut myself off from the beginning. On the evening of 28th, I announced my plan of "# 2 1 get up early every day #" in my circle of friends, and left a message saying that as long as I didn't get up that day, I would give red envelopes to all my favorite friends the day before.

I am convinced that there must be someone in my circle of friends waiting to see my joke. Therefore, no matter how uncomfortable and crazy I get up every morning, I stick to it with a sense of shame that I don't want to be laughed at. Although this plan is over now, I intend to stick to it. Although I don't know how long I can last, the day of 2 1 is beyond my power.

Recalling the social incentive method of this special plan, I used three steps:

1, sign in every day-form a habit

The first thing to wake up every day is to take a screenshot of the time of the mobile phone interface, and then send a circle of friends as a sign-in. (No doubt, I fell asleep after the screenshot, no)

2. Set rewards and punishments-encourage supervision.

1) Reward others

If I get up more than 5:40 that day, I will give red envelopes to all my friends who praised the program "#2 1 get up early #" the day before. Not only stimulate friends to participate in supervision, but also hint to themselves: little turtle, if you dare to break your word, I will kill you if you give a red envelope.

2) Reward yourself

Insist on doing one thing every day, although I can't help donating. But if you can set yourself a target reward, it will also have a certain incentive effect. For example, I have to change my computer as long as I keep getting up early for 90 days in a row. Ha ha. Yes, I just made up my mind to stick to it for less than 90 days, hahaha.

3. Periodic Summary-Data Report

On the night when "# 2 1 get up early #" ended on September 8, 2008, I sorted out the data of all the friends who praised my circle of friends in this 2 1 day and made a report for the public. Everyone's response was not bad. After the public report, more people participated in the environment of praise and supervision.

Friends who find it interesting can try it. Welcome to join my "# 265438+ get up early 0 days #" team, hehe.
